Code ledger lines by project and dimension

Tag ledger lines with a project and reporting dimensions, filter reports by them, and set a project's client

Written by Ellen Kajca

Tag ledger lines with a project and with your own reporting dimensions, such as department or office, then filter your financial reports by them.

Set up dimensions

  1. In Finance, go to Settings → Dimensions and select Add dimension.

  2. Enter a Code and Name, and choose a Type: Office, Department, Class, or Custom.

  3. Open the dimension, select Add member, and enter a code and name for each value (for example, CRE · Creative). Then select Save dimension.

Code a line

Journal lines, invoice lines, and fixed assets have a Project picker plus one picker for each active dimension, named after the dimension. Leave a picker on None to leave that line uncoded.

Filter reports by coding

On Profit & loss and GL detail, use the Project filter and the dimension filters (for example, Department) to narrow the report. Choosing a parent member includes its children. Filters stay applied when you drill into detail.

GL detail also shows a Client column. It shows the project's client, not the counterparty on the line.

Set a project's client

In workspaces with Finance, people with CRM access can set a Client on a project:

  • When creating a project: the Client field is on the General step.

  • On an existing project: open Edit project → CRM → Client.

  • Projects created from a CRM account start with that account as the client.

  • Sub-projects start with their parent's client.

  • Duplicated projects keep the client.

  • Templates don't carry a client.

The Customer profitability report uses the project's client to attribute costs, including expenses, purchase orders, and labor. Projects with no client appear on a No client row. Revenue and payments still follow each invoice's client.
