Hive CRM Sync for Microsoft Teams recordings

Import recordings and transcripts of Teams calls into Hive CRM meetings, either organization-wide or with each person's own Microsoft account.

Written by Ellen Kajca

Hive can import the recordings and transcripts of your Microsoft Teams calls into Hive CRM. They attach to the matching meeting in CRM, next to the accounts, people, and opportunities it belongs to.

There are two ways to set it up:

  • Organization-wide: your Microsoft admins set it up once. Hive then imports Teams calls organized by any member with a CRM seat, and nobody needs to connect their own account.

  • Per person: each person connects their own Microsoft account. Hive imports only the Teams calls that person organized.

Hive never joins, starts, or records a meeting. It only imports recordings and transcripts that Teams already made.

Looking for the Hive app inside Microsoft Teams? That is a different feature. See Hive for MS Teams.

How it differs from Zoom

Zoom

Microsoft Teams

Who connects

One workspace admin, once

Organization-wide: your Microsoft 365 and Teams admins, once. Per person: each person, with their own Microsoft account

Which calls import

Cloud-recorded calls on the connected Zoom account that match a meeting in Hive

Organization-wide: Teams calls organized by members with a CRM seat. Per person: only Teams calls organized by a person who connected

Admin approval

Zoom account admin authorizes the app

A Microsoft 365 admin approves Hive once for the organization, and a Teams admin turns on transcript access. Organization-wide import also needs a Teams admin to run two PowerShell commands

Same for both

Prerequisites

  • A Hive workspace with Hive CRM turned on, and a CRM seat for each person whose calls should import.

  • A calendar connected to Hive. Hive makes CRM meetings from connected calendars, and recordings attach to those meetings. The calendar event must contain the Teams join link.

  • A Microsoft 365 work account. Personal Microsoft accounts (such as Outlook.com) are not supported. The call must be organized by someone in your organization.

  • A Microsoft 365 admin in your organization to approve Hive once.

  • A Teams admin to turn on Teams transcript access. Without it, recordings import but transcripts do not. For organization-wide import, the Teams admin also runs two commands in Teams PowerShell.

Step 1: Turn on Teams recordings for the workspace (workspace admin)

  1. Open Settings → Workspace → Apps.

  2. In the CRM section, find the Microsoft Teams recordings card.

  3. Turn on Allow Teams recordings import.

  4. A Microsoft sign-in window opens. Sign in. If you are a Microsoft 365 admin, you can approve Hive for your organization in this window.

    • If your organization already approved Hive, the card changes to Teams recordings import enabled.

    • If it did not, you see Admin consent required. Select Copy consent link and send the link to your Microsoft 365 admin. When they approve, turn on Allow Teams recordings import again.

When it is on, the card shows how many people connected their own account (for example, 3 users connected).

While the import is off, the card also shows the two Teams PowerShell commands for organization-wide import. Copy them for your Teams admin before you turn the import on (see Organization-wide import).

Turning on the workspace switch does not connect your own Microsoft account. Unless your organization uses organization-wide import, also do Step 4.

Step 2: Approve Hive in Microsoft (Microsoft 365 admin)

  1. Open the consent link from Step 1.

  2. Sign in with your Microsoft 365 admin account.

  3. Review the permissions and accept.

You approve once for the whole organization. You do not need a Hive seat to approve. The approval includes read access to Teams online meetings, recordings, and transcripts across the organization, which organization-wide import uses. If your organization approved Hive earlier, approve again so the approval includes these permissions.

Step 3: Turn on Teams transcript access (Teams admin)

Microsoft keeps transcript access for apps off by default. A Teams admin must turn it on. See Microsoft's guide: Manage transcript API access for Teams meetings.

If this stays off, recordings still import. Transcripts do not.

Organization-wide import (Teams admin, optional)

With organization-wide import, Hive reads meetings with its own app access, so people with a CRM seat don't need to connect their Microsoft accounts. Microsoft requires a Teams admin to allow this with an application access policy.

  1. Copy the two commands shown on the Microsoft Teams recordings card while the import is off. They include Hive's app ID.

  2. Run them in Teams PowerShell. They look like this:

New-CsApplicationAccessPolicy -Identity Hive-Meetings -AppIds "<Hive app ID>" -Description "Hive meeting import"

Grant-CsApplicationAccessPolicy -PolicyName Hive-Meetings -Global

-Global covers everyone in your organization. To cover only some people, grant the policy per user with -Identity <user> instead.

Hive still imports only meetings organized by workspace members with a CRM seat, and only while Allow Teams recordings import is on. If the policy doesn't cover an organizer, Hive uses that person's own connection when they have one.

Step 4: Connect your Microsoft account (each person, if you don't use organization-wide import)

You can connect from your settings or from a meeting.

From your settings

  1. Open Settings → Personal → Buzz AI → Meetings.

  2. At the bottom of the page, under Microsoft Teams, select the Import my Teams recordings into CRM checkbox.

  3. Sign in to Microsoft and accept.

You see Teams recordings connected. Your recorded calls will appear in CRM shortly. The row then shows Connected as and your Microsoft email.

From a CRM meeting

  1. Open a Teams meeting in CRM that you organized and that has ended.

  2. If no recording is there yet, you see No Teams recording yet.

  3. Select Connect Microsoft Teams and sign in.

Your connection is for you, not one workspace. Hive imports your calls in every workspace where Teams recordings is on and you have CRM access.

Use

Automatic recording and transcript import

When a Teams call is recorded and its organizer is covered (organization-wide import, or their own connection), Hive imports the recording and the transcript. Open the meeting in CRM. The recording plays on the CRM meeting page.

Timing: Hive checks for new recordings about every five minutes. A recording appears a few minutes after Teams finishes it.

Hive imports recordings from Teams calls in the last 30 days. Older calls do not import.

Who can see the recording

The recording shows on the CRM meeting page to members who have CRM access and can see that meeting in CRM.

Who can see the transcript

The transcript belongs to the meeting. Only internal workspace members can see it. External members and guests never see it, even when they are on the invite. These members can see it:

  • People on the meeting invite (attendees and organizer).

  • Members with CRM access, when the meeting is linked to a CRM account or opportunity.

  • Workspace members someone added with Specific people under Share meeting in Buzz Sidekick.

An invitee can select Attendees only: hide from CRM readers and shared people. Then only people on the invite can see it. Only people on the invite can turn this on or off, or remove people from a share. Other readers can only add people.

Private notes stay private. Only you can see your private notes on a meeting.

Good to know

  • Without organization-wide import, Hive imports only calls organized by someone who connected. If a teammate organized the call and did not connect, the call does not import.

  • Calls hosted by people outside your organization (for example, a client's Teams meeting) cannot import. Microsoft does not let Hive read another organization's meetings. To capture a transcript of those calls, use Buzz Sidekick in the Hive desktop app.

  • With a personal connection, Hive reads each call as the person who organized it. It cannot read calls you could not open yourself.

  • Turning off Import my Teams recordings into CRM stops new imports through your own connection. You see Teams recordings will no longer import. With organization-wide import, your calls can still import.

  • Turning off Allow Teams recordings import stops new imports for everyone in the workspace.

  • Recordings and transcripts that were already imported stay on the meeting when you disconnect.

Troubleshooting

I don't see the Microsoft Teams recordings card.
You must be a workspace admin with CRM access, and the workspace must have Hive CRM turned on.

I don't see "Import my Teams recordings into CRM" in my settings.
A workspace admin must turn on Allow Teams recordings import first (Step 1). You also need a CRM seat.

"Admin consent required" appears when I turn on the import.
Your organization has not approved Hive. Select Copy consent link and send it to your Microsoft 365 admin. Then turn on the import again.

I don't see the PowerShell commands on the card.
The commands show only while Allow Teams recordings import is off. Turn it off, copy them, and turn it back on.

Organization-wide import is set up, but calls from people who didn't connect don't import.
Check that your Microsoft 365 admin approved Hive recently (an older approval may not include organization-wide access), that the access policy covers the organizer (-Global or their user), and that the organizer has a CRM seat. Until then, Hive uses each person's own connection. If it still doesn't work, contact help@hive.com.

"Microsoft did not finish connecting."
If Microsoft asked for admin approval, ask your Microsoft administrator to approve Hive Teams recordings, then try again.

"Your Microsoft connection expired."
Select Reconnect and sign in again. Imports through your connection pause until you reconnect. This can also happen after you sign in to Microsoft again for another Hive feature, such as mail or files.

"Microsoft didn't give Hive access to your Teams meetings."
Microsoft did not grant the meeting permissions when you connected. Connect again, or ask your Microsoft admin to approve Hive.

"Nothing can import until your Microsoft admin approves Hive."
Your organization has not approved Hive yet. Send the consent link to your Microsoft 365 admin (Step 2).

Recordings import but transcripts don't.
You see "Transcripts aren't importing because your Microsoft admin hasn't turned on Teams transcript access." On the admin card it shows as Teams transcript access is off. A Teams admin must turn it on (Step 3).

A recording didn't appear on my meeting.

  • The call must be recorded in Teams.

  • The organizer must be covered: either your organization uses organization-wide import and the organizer has a CRM seat, or the organizer connected their own account.

  • The meeting must be in Hive CRM from a connected calendar, with the Teams join link in the event.

  • The recording must overlap the meeting's scheduled time. For a recurring meeting, it attaches only when it matches one occurrence. A recording made outside the scheduled time may not appear.

  • The call must be from the last 30 days.

  • Check back after a few minutes.
