Hive CRM Sync for Zoom

Connect Zoom so cloud recordings and transcripts attach automatically to your Hive CRM meetings — how to add, use, and remove the Hive CRM Sync app.

Hive CRM Sync automatically attaches your Zoom cloud recordings and audio transcripts to the matching meeting records in Hive CRM. Once a workspace admin connects it, your team finds the recording and transcript on the meeting page in Hive shortly after each recorded call ends — next to the CRM notes, contacts, and deals they belong to. The app never joins, starts, or records meetings itself; it only syncs cloud recordings that meeting hosts already chose to make.

Prerequisites

  • A Hive workspace with Hive CRM enabled, and workspace admin rights in it.

  • A Zoom account where you are an account admin (the app is admin-managed, so a Zoom admin must authorize it for the account).

  • Cloud recording enabled on your Zoom account (Zoom Settings → Recording). Cloud recording is a paid Zoom feature; local recordings do not sync.

  • For transcripts: audio transcript enabled in the same Zoom recording settings.

  • A calendar (Google or Microsoft) connected to Hive — Hive creates meeting records from your calendar, and recordings attach to those records.

Adding the App

  1. Sign in to Hive at app.hive.com.

  2. Open your profile menu → Your WorkspaceWorkspace SettingsApps.

  3. In the CRM settings, find Zoom meeting recordings and click Connect Zoom for recordings. (You must be a workspace admin to see this option.)

  4. Sign in to Zoom as an account admin when prompted and review the requested permissions: viewing cloud recordings, viewing recording transcripts, and reading your user profile (used once, to identify which Zoom account is being connected).

  5. Click Allow. You are returned to Hive and the card now shows Connected, along with the connected Zoom account.

That's it — one authorization covers the whole workspace. Individual teammates do not need to connect anything for recordings to sync.

Usage

Automatic recording sync

What it does: when a Zoom meeting that is linked to a Hive meeting record ends and its cloud recording finishes processing, Hive automatically downloads the recording and attaches it to that meeting. Open CRM → Meetings and select the meeting — the recording plays right on the meeting page.

Prerequisites: the app is connected (above); the meeting was recorded to the cloud; and the meeting exists in Hive before the call ends — which happens automatically when the meeting is on a connected calendar with its Zoom join link in the event.

Timing: Zoom typically takes 5–15 minutes after a meeting ends to finish processing a cloud recording; the recording appears in Hive shortly after that.

Automatic transcript sync

What it does: when Zoom finishes generating the audio transcript for a recorded meeting, Hive attaches it to the same meeting record, so your team can read the conversation alongside the recording and CRM context.

Prerequisites: everything above, plus audio transcript enabled in your Zoom recording settings. Transcripts usually complete a few minutes after the recording itself.

Who can see synced recordings

Recordings and transcripts are visible only to members of your Hive workspace who have access to Hive CRM (and, if your workspace restricts CRM access to specific people, only to those people and admins). They are stored encrypted at rest in Hive's infrastructure and served through Hive — Zoom download links are never shared.

Removing the App

To disconnect Hive CRM Sync from your Zoom account:

  1. Sign in to the Zoom web portal as the account admin and open the App Marketplace (marketplace.zoom.us).

  2. Click ManageAdded Apps.

  3. Find Hive CRM Sync and click Remove.

What happens when you remove the app (deauthorization):

  • Zoom notifies Hive immediately and the workspace connection is disabled — the CRM settings card no longer shows Connected, and no new recordings or transcripts sync from that point on.

  • Hive stops having any access to your Zoom account; the connection record in Hive retains only the Zoom account identifier, marked disabled.

  • Recordings and transcripts that were already synced remain in your Hive workspace — they are part of your team's CRM records, like notes or uploaded files. You can delete them in Hive at any time by deleting them from the meeting records, or contact support to have all Zoom-synced artifacts for your workspace deleted in bulk.

  • Removing the app from Zoom does not delete anything in your Zoom account — your Zoom cloud recordings stay in Zoom.

To reconnect later, follow Adding the App again.

Troubleshooting

The "Connect Zoom for recordings" button isn't visible. You need to be a workspace admin, and the workspace needs Hive CRM enabled. Ask a workspace admin to connect, or contact support to enable CRM.

Zoom shows an approval error during authorization. The authorizing Zoom user must be an account admin on the Zoom account. Ask your Zoom admin to complete the connection, or have them pre-approve the app for your account (Zoom App Marketplace → Manage → Permissions).

A recording didn't appear on my meeting.

  • The meeting must be recorded to the cloud — local recordings can't sync.

  • The meeting must exist in Hive before the call ends. Check that the meeting was on a connected calendar and that the calendar event contained the Zoom join link.

  • Zoom processing can take 15+ minutes for long meetings; check back a little later.

The recording is there but the transcript isn't. Audio transcript must be enabled in your Zoom recording settings before the meeting is recorded, and transcripts finish several minutes after the recording does.
