Your AI Enabled Workspace

Learn more about using your AI enabled workspace in Hive.

Written by Michaela Rollings

Learn how Hive’s AI-enabled workspace helps teams reduce manual work, connect organizational knowledge, and move projects forward faster with AI built directly into operational workflows.

Instead of relying on isolated prompts, AI works within the context of your organization — helping teams automate coordination, surface information faster, and execute work with greater visibility and alignment.

Whether you're using AI-powered email workflows or enabling the full AI-enabled workspace inside Hive, the experience adapts to how your team already works.

Getting Started

If you're an existing Hive customer

The AI-enabled workspace is available as a premium workspace upgrade with a free trial period available for eligible workspaces.

To get started:

  • Enable the AI-enabled workspace from your admin settings

  • Sync your email account (Google or Microsoft)

AI Memories & Organizational Context

A core part of the AI-enabled workspace is persistent organizational context.

Hive can use project history, workflows, communication, meetings, and operational knowledge to provide more relevant and context-aware assistance over time.

Teams can also create optional memories and instructions to guide recurring workflows, preferences, and communication styles across the workspace.

Why Hive’s AI-Enabled Workspace Is Different

Most AI tools operate in isolated conversations with limited organizational awareness.

Hive’s AI-enabled workspace is built around operational context — connecting projects, communication, meetings, workflows, and institutional knowledge into one shared system.

The result is AI that can better understand how your organization actually works, helping teams reduce coordination overhead and execute work faster.

AI-Enabled Workspace FAQ

Purchase & Usage

Can only one person on my team use the AI-enabled workspace?

The AI-enabled workspace is designed as a workspace-level upgrade because AI functionality works best when connected across shared projects, workflows, communication, and operational context.

Can I cancel the AI-enabled workspace at any time?

For monthly subscriptions, cancellation will stop future billing moving forward.

For annual subscriptions, please contact finance@hive.com.

Is there a trial or pilot option?

Yes. Eligible workspaces can access a free trial period to evaluate the AI-enabled workspace and its capabilities before purchasing.

Security & Privacy

What data can the AI-enabled workspace access?

The AI-enabled workspace only accesses information users already have permission to view inside Hive and connected systems.

It does not bypass private projects, notes, or restricted information.

AI functionality uses workspace data solely to fulfill user requests and automate approved workflows.

Workspace scope of access

The AI-enabled workspace can access:

  • Projects, tasks, sections, labels, statuses, assignees, comments, and custom fields visible to users

  • Notes and related workspace content users can access

  • Workspace activity metadata required for workflow execution and auditing

  • Calendar events when users request calendar-related actions

  • Connected integrations enabled by workspace admins

Permissions & visibility

The AI-enabled workspace respects existing workspace permissions and visibility controls.

AI cannot access:

  • Private projects users cannot view

  • Restricted notes or documents

  • Data outside enabled integrations

  • Information outside user permission scope

How does Hive use workspace data?

Hive's AI-enabled workspace may:

  • Read workspace information to understand operational context

  • Surface relevant information and summaries

  • Draft updates, workflows, and suggested actions

  • Create or modify items only when requested or approved

AI-generated actions are recorded in workspace activity history for transparency and auditing.

Can admins control AI access?

Yes. Workspace admins can configure:

  • AI availability

  • Integration access

  • AI automation settings

  • Workspace-level permissions and controls

What are AI security best practices?

We recommend:

  • Using private projects and permissions for sensitive work

  • Avoiding passwords, secrets, or regulated identifiers in prompts

  • Restricting integrations where appropriate

  • Using approval workflows for high-impact automations

  • Reviewing AI-generated actions before broad rollout

For regulated workflows, teams can instruct AI to omit sensitive information or identifiers from outputs.

Does the AI-enabled workspace follow Hive’s existing privacy and security policies?

Yes. The AI-enabled workspace follows the same privacy, security, and compliance standards as the rest of the Hive platform.

Workspace Usage & Best Practices

Can the AI-enabled workspace learn our workflows and naming conventions?

Yes. AI can adapt to existing workspace structures, templates, naming conventions, labels, statuses, and operational patterns.

Teams can improve consistency by:

  • Creating reusable templates

  • Providing examples of preferred structures

  • Using standardized labels and custom fields

  • Saving commonly used prompts and workflows

  • Establishing approval and review steps

What are best practices for rolling out the AI-enabled workspace?

We recommend starting with a pilot group of workspace owners, operations leads, or project managers before expanding organization-wide.

Best practices include:

  • Enabling core integrations first

  • Defining initial workflows and prompts

  • Identifying internal AI champions

  • Starting with low-risk operational automations

  • Establishing review and approval processes

Common starter workflows include:

  • Meeting summaries and follow-ups

  • Project plan generation

  • Daily operational summaries

  • Task creation and workflow updates

  • Risk and blocker visibility

  • Inbox organization and email drafting

Are there limits to AI usage?

No. Once enabled, teams can use AI functionality across the workspace without message-based limits.

Integrations

Does the AI-enabled workspace connect with other tools?

Yes. Hive supports integrations across project management, communication, development, storage, and productivity systems.

Available integrations and API capabilities help connect organizational context across tools and workflows.

Workspace admins control which integrations are enabled and accessible.
