Guided import copies projects and tasks from another tool into Hive. It keeps each task's owner. It does this in two steps: Projects, then Fields.
Who can use it
You must be able to create projects and actions in the workspace.
External members and restricted members do not see the import menu item.
To add teammates from the other tool, you must be a workspace admin. A member can also add them if your workspace lets members manage users. See Teammates and seats below.
Where to start
Use one of these:
Click your photo or initials in the top right. Choose Import tasks and projects.
Create a project. Choose Import project (Add from another tool).
New trial workspaces: on Home, click Import my work on the Bring your work into Hive card.
The Bring your work into Hive dialog opens.

Step-by-step
Connect the source
Choose a source tile.
Click Connect Source (for example, Connect Asana). A pop-up window opens.
Sign in to the other tool and approve access.
If the pop-up shows an error, close it. Then click Cancel in Hive and try again.
Under Import from, choose the account. To add one more account, click Connect another account.
Click Choose projects. The label uses the source's word, such as Choose boards or Choose lists.
For a file source, choose the file. Hive uploads it and continues.
Step 1: Projects
Select the projects to import. Use the search box to find a project. Use the top check box to select all visible projects.
The footer shows how many projects and tasks you selected.
Click Next: Fields.
All tasks in a selected project are imported. You cannot pick single tasks.
Step 2: Fields
Read the warnings at the top, if there are any.
Clear the check box of each optional field you do not want. Title, Description, Status, Start date and Due date show Always included. For Jira, Start date shows Unavailable. A field that the source cannot send shows Unavailable. Point to the ? icon to see why.
Read the footer. It shows the number of projects, tasks and teammates, for example: "3 projects · 10 tasks · 4 teammates added without an invite".
Click Import N projects.
Import progress
Hive shows Bringing your work into Hive and a progress bar. You can close the dialog. The import continues.
When it is done, Hive shows Your work is ready in Hive, the number of projects created and, if any, "N teammates added to the workspace". Click Open project.
To come back to an import, open the dialog again from Home (Continue your import).
What gets imported
Each selected project, board, list or sheet becomes one Hive project.
Tasks and subtasks, with title, description, status, start date and due date.
Task owners (assignees). See Teammates and seats below.
Optional fields, where the source supports them:
Source | Comments | Attachments | Dependencies | Custom fields |
Asana | Yes | Yes | Yes | Yes |
ClickUp | Yes | Yes | Yes | Yes |
monday.com | Yes | No | Yes | Yes |
Jira | No | Yes | No | Yes |
Trello | Yes | No | No | Yes |
Notion | No | No | No | Yes |
Wrike | No | No | No | No |
Smartsheet, Microsoft Project, Excel / CSV | No | No | No | No |
Notes:
Jira start dates are not imported. Jira keeps them in site-specific custom fields.
Files larger than 100 MB are not copied.
Imported comments show as posted by you. Each one starts with "Imported from", the name of the source tool and the name of the original author.
New projects are private to you and the teammates who own work in them. You can change who has access after the import.
Teammates and seats
Important: teammates join your workspace without an invite.
Each person who owns imported work and has an email address in the other tool is added to your workspace. If you keep Custom fields, people named in people custom fields are added too. They are also added to the imported projects. Their tasks stay assigned to them.
Hive does not send an invitation email. Added teammates can still get the usual notifications for the tasks assigned to them.
People who are already in your workspace keep their tasks. They do not use a new seat.
Each added teammate uses a seat. On most paid plans, Hive increases your seat count after the import. Before you click Import N projects, read the number of teammates in the footer. It shows the most teammates that the import can add. Some of them can be skipped (see What is skipped below).
New teammates join as full members or restricted members. This follows your workspace setting for new members.
How added teammates sign in
With Google or Microsoft: they sign in as usual.
With email and password: they go to the Hive sign-in page and type their email. Hive sends them an email to set a password.
If they already have a Hive account, they sign in with their usual password.
Tell your teammates about the import, because Hive does not send them an invitation.
What is skipped
Hive imports the task in each case below, but leaves it unassigned:
The person has no email address in the other tool (for example, Trello members who keep their email private).
The email address is from a blocked domain.
You are not a workspace admin, and only admins can add members. In this case, no teammates are added.
Your plan has a member limit, and the new teammates do not fit in it. In this case, no teammates are added.
If any selected project is already in Hive from an earlier import, and that Hive copy is still active, the whole import stops. Hive shows "Some selected work is already in Hive." See the FAQ below.
Limits
Up to 100 projects in one import.
Up to 10,000 tasks in one import.
The preview stays valid for one hour. After that, select the projects again.
Excel / CSV: use ISO dates (YYYY-MM-DD).
If Hive shows "This selection is too large", close the import and choose fewer projects.
FAQ
Why did my seat count go up?
Guided import adds each person who owns imported work and has an email address. Each new person uses a seat. Hive increases the seat count on most paid plans. On a monthly plan, the change applies at your next renewal. On other plans, Hive can invoice the extra seats right away. To lower the count, remove the teammates you do not need from the workspace. Then contact support about your bill.
My teammate never got an invite.
This is expected. Guided import does not send invitations. Ask your teammate to go to the Hive sign-in page and type their email. Hive then sends them an email to set a password. They can also sign in with Google or Microsoft. If your teammate is not in the workspace, see What is skipped above.
Some tasks are unassigned. Why?
The owner had no email address in the other tool, or Hive could not add that person to the workspace. See What is skipped above. Assign those tasks in Hive.
Can I import the same project again?
Not while the first Hive copy is active. Hive shows "Some selected work is already in Hive." and does not import any of the selected projects. Archive or delete the Hive project first, then import again. Hive then makes a new copy.
The import stopped. What do I do?
Hive saves your progress. Click Retry import. If the source limits requests, wait one minute, then retry.
Hive asks me to reconnect.
Access to the other tool changed or expired. Click Reconnect Source and sign in again.
Where is Basecamp?
Guided import does not support Basecamp.
