Restrict internal proof versions to selected teams

Control who can see internal proof versions

Workspace admins can limit internal or work-in-progress proof versions to selected internal teams. This helps keep draft proof files visible only to the people who need to review them.

Set up the visibility restriction

  1. Open Your workspace → Apps → Proofing and approvals.

  2. Turn on Limit internal proof versions to selected teams.

  3. Select the internal teams that should be able to view internal proof versions.

  4. Save the setting.

Workspace admins can view internal proof versions even when they are not members of a selected team.

What other users see

  • Members of selected teams can view internal and published proof versions.

  • Users who are not on a selected team can view published or major proof versions once one exists.

  • Users outside the selected teams cannot view a proof that has only an internal or work-in-progress version.

  • Being an approver does not by itself grant access to internal proof versions.

Availability and limitations

This setting applies at the workspace level and is managed by workspace admins. If no teams are selected, non-admin users cannot view internal-only proof versions. Turning the setting off returns proof visibility to the workspace’s previous approval-based behavior.
