Prefill time entries from action cards

Fill in the description and time category automatically when people log time from an action card.

When someone logs time from an action card, Hive can fill in the time entry's Description and Time category from the card. This saves typing and keeps timesheet entries consistent.

Before you start: Only workspace admins can change this setting. It is off by default.

Turn on prefill

  1. Go to Workspace settings > Timesheets > General. You can also click the settings gear on the Timesheets page.

  2. Find Prefill time from action cards.

  3. Turn on Prefill time from the card. The card title is now used as the description.

  4. Optionally, in Add a card field to the description, choose a custom field to add after the title. The default is Card title only.

  5. Optionally, turn on Prefill time category.

What gets filled in

  • Description: The card title. If you chose a custom field and the card has a value for it, the value follows the title, for example Draft brief - PO-123. Text, select, number and location fields can be used. If a select field has several values, they are separated by commas.

  • Time category: The card's own time category. If the card has none, or its category is deleted or not allowed in the project, the project's default category is used. If that isn't allowed either, the field is left blank.

If Prefill time category is off, time categories work as before.

When it applies

  • When someone clicks Add time on an action card to enter time by hand.
    ​

  • When someone stops a timer and saves it in the Save time window.
    ​

  • When someone adds an action to their timesheet, and Prefill time category is on, the time category is chosen the same way.

Prefill only fills in new entries. It doesn't change existing entries or entries you edit, and it doesn't add any time.

Good to know

  • You can still change it: The filled-in values can be edited before saving. If someone clears the description or category and saves, it stays blank.

  • Category left blank? The project probably limits which time categories can be used, and neither the card's category nor the project default is on that list. Check the project's allowed time categories.

  • Jira worklogs: Time synced from Jira is not prefilled.
    ​

  • Deleted fields: If the chosen custom field is deleted or changed to a type that can't be used, only the card title is used.
