Sync Hive projects with QuickBooks jobs

Link each Hive project to a QuickBooks job, or have Hive create the jobs for you

Link each Hive project to a QuickBooks job (sub-customer) so that QuickBooks costs and revenue for that job show on the project. Hive can also create the jobs for you. You need Hive Finance with QuickBooks connected, and each project needs a client.

Create jobs automatically (workspace admins)

In Finance, go to Settings → Connections → QuickBooks and turn on Create QuickBooks projects for new Hive projects.

  • New projects: a new project whose client is a QuickBooks customer gets a matching job under that customer.

  • Renaming: renaming the project renames the job.

  • Existing jobs: if a job with the same name already exists under the client, Hive links to it instead of creating a duplicate.

Link a project by hand

Open Edit project → CRM → QuickBooks job, and pick a job or select Find by name. The change saves right away. If the status shows Failed, select Retry.

Good to know

  • Jobs must match the project's client. You can only pick a job under the project's client, not a top-level customer, and each job can link to one project only.

  • Hive never deletes or deactivates a QuickBooks job. Archiving a project or removing the link only stops the sync.

  • Transactions follow the link. QuickBooks transactions on a linked job are attributed to the project, including history. Changing the link moves that history.

  • Failed syncs retry automatically for about 2 hours, then wait for you to select Retry.
