Manage Action and Project Statuses in the Status Library

Create, edit and delete action card and project statuses, and choose which projects use each action status.

Written by Ellen Kajca

The status library shows every action card status and project status in your workspace in one place. Use it to see which projects use a status, tidy up duplicates such as "In Review" and "in review", and add, edit, or remove statuses.

Who can manage statuses?

Workspace members can open the status library. What you can change depends on the status type and your permissions:

  • Action card statuses: Members can edit these unless the workspace setting Restrict new status creation to admins and project owners is turned on. Then only workspace admins can edit them here. Only workspace admins can delete an action status across the workspace.

  • Project statuses: The status creator or a workspace admin can edit or delete them.

Open the status library

  1. Click your profile picture in the top right. Under Workspace, select Settings.

  2. In the left sidebar, under Customization, select Custom statuses.

Choose Action card statuses for statuses used on tasks, such as In Review, or Project statuses for the health of a whole project, such as On-track. Search for a status by name. On the Action card statuses tab, you can also use Filter by project to see only the statuses one project uses.

Project statuses are shared across the workspace for all users. For more about them, see Custom Project Statuses.

Add a new status

On either tab, click + Add new status. Enter a name, pick a color, and click Add action status (or Add project status).

A new action status starts in 0 projects. Use Used in (below) to add it to the projects that need it.

Choose which projects use an action status

The Used in column shows how many projects use each action status. Hover over the count to see the project names. To change which projects or templates use the status, click the count, select or clear projects on the Active and Templates tabs, and click Apply. This manages project usage; it is different from deleting the status across the workspace.

Edit or remove a status

Hover over a status row and click the ⋮ menu at the end of the row. Select Edit status to rename it or change its color, or Remove status to delete it. Available options depend on your permissions.

When you remove a status, review the confirmation and select Delete.

Deleting an action status here permanently removes it from all projects and cannot be undone. To remove it from a specific project or hide it in Home instead, see Remove or hide an action status.

Q: What happens to actions when an action status is deleted across the workspace?

A: They will automatically be moved to the Unstarted status!
