How to get the most out of the Financial Actuals Summary and Financial Forecast dashboards

The Financial Analytics dashboards combine several elements inside of Hive to calculate billed amounts, costs, and margins.

The Financial Actuals Summary looks at billed amounts, costs, and margins from actual time that has been tracked against a project or action cards. In order to fully populate this dashboard, users must have data in these fields:

  1. Recorded time on action cards from Time Tracking or hours logged on Timesheets

  2. Bill rates and cost rates set in Resourcing for users who are tracking time

  3. Other Costs entered for individual projects *optional*

The Financial Forecast looks at billed amounts, costs, and margins from estimated time that has been tracked against a project or action cards. In order to fully populate this dashboard, users must have data in these fields:

  1. Time estimated on action cards from Time Tracking or hours resourced in Resourcing

  2. Bill rates and cost rates set in Resourcing for users who are tracking time

  3. Other Costs entered for individual projects *optional*

Please note that Leave (Timesheets) and Time Off (Resourcing) are excluded from these calculations.

Now that we know where the data comes from on each dashboard, let's take a closer look at the calculations we are doing.

The first of these calculations is Billed Amount, which is the sum of all actual or estimated hours a user has tracked multiplied by the user's bill rate. If a user has a custom bill rate set for the project that the Timesheets or Time Tracking hours belong to, the custom bill rate will be used instead of their standard rate.

These dashboards allow users to look at Billed Amount by Projects, Roles, Teams, and Users.

The second calculation being done is for Cost. Cost is the sum of all actual or estimated hours a user has tracked multiplied by the user's cost rate. Unless noted on the widget, Other Costs are not included.

These dashboards allow users to look at Cost by Projects, Roles, Teams, and Users.

Lastly, Margins are the difference between the Billed Amount and Cost. This calculation takes Other Costs into consideration when noted on the widget.

These dashboards allow users to look at Margins by Projects, Teams, and Users.

Filters on the right panel give users the ability to filter by data source, dates, projects, project tags, teams, users, as well as resource type. All widgets on the dashboard are available to be downloaded as images or CSV files. The dashboards as a whole can be exported as PDF.
