Status View

A powerful visual tool to manage your work!

Written by Ellen Kajca

A Status View is a powerful workflow visualization tool. Tasks are represented by cards that are organized in lists. Each list represents a step in a work process.

Simply drag and drop the cards around different status columns as they move through the process. (Think sticky-notes or post-its).

It is perfect for visual thinkers.

Any project can use a Status view. Choose it as the default layout when you create a project, or add it to an existing project with the + next to the project's view tabs.

Creating a Status View

  1. Open the Project Navigator and click Create project.

  2. Choose Blank project.

  3. Enter the project details in General and add team members in Members.

  4. In Layout, select Status.

  5. Click Create project. Your new project opens directly in Status view.

Note: The Layout step isn't shown when you create a project from a template. The template's views are used instead.

Editing your Status View

A new project starts with three statuses: Unstarted, In Progress, and Completed. If your workspace has default statuses set up, they're added between In Progress and Completed. Unstarted is always the first column and Completed is always the last.

You can rename any status and add as many as you want, so your team can match the board to its own process.

Add a status: click + Add a new status after the last column, type a name, and press Enter (or Esc to cancel). The new column is added before Completed.

Column options: hover over a column header and click ⋮ to Edit status, Remove status, or Archive actions (archives every card in that column). Remove status isn't available for Unstarted or Completed, and Archive actions only appears when the column has cards.

Rename or recolor a status column

  • Rename: double-click a column name, type the new name, and press Enter (or Esc to cancel). This renames the status in this project only. To rename it in every project, open the column's ⋮ menu → Edit status, check Update in all projects where this status is used, and click Update Status.

  • Recolor: click the colored dot in the column header and pick a color. A preset color applies right away; for a custom color, set it and click Select color. Status colors are shared across the workspace, so the new color shows wherever that status is used.

Compact mode

To fit more cards on screen, click Configure at the top right of the view and, under Display, turn on Enable compact mode. Compact cards show the title, due date, priority, comments, attachments, subactions, and assignees, and hide labels. The setting is saved for you in that view, and it also works for Team and Label boards and the Status view in My Actions.

In the same Display section, Hide empty columns hides statuses that have no cards.

Examples

The possibilities are endless. Here are some examples of how you can organize your team's Status View.

Sprint board
Backlog -> In Progress -> Review -> Done

Rename Unstarted to Backlog and Completed to Done, then add a Review status.

Idea generation
Use it for anything, from collecting inspiration to tracking content until it's published. For example: Ideas -> Drafting -> Published.

Tips in Status view

Moving multiple action cards at the same time - Hold down Cmd (Mac) or Ctrl (Windows) and click each action card, or Shift-click to select a range of cards. Then drag any selected card to move them all. While cards are selected, a bar at the bottom shows how many are selected and offers bulk actions such as assigning, labeling, archiving, or deleting. Multi-select works in project Status views, not in Team or Label boards.
