List View shows all actions in a project in one list. You can group, filter and edit actions directly in the list.
To add List View to a project, click + next to the project tabs and select List. To make the view only for you, turn on Private view. Then click Add.
Click Configure at the top right to change the view:
Filter: show only the actions you need, by status, assignee, dates, labels and more.
Group by: group actions by section (the default), status, assignee, priority level or project, or select None.
Display: choose whether to show blocked actions, milestones, archived actions, projects in draft mode, empty groups, actions without due dates, and subactions.
Preview List View as a client
To see List View as external users see it, select Configure, and under Display select Externally visible actions only. This option shows only when Client Mode is on for the project. Clear the checkbox to go back to your usual view.
The preview hides the actions and comments that external users cannot see, in List View and in action cards that you open from it. You cannot write or edit comments during the preview. It does not change project settings or access for external users.
Sections
Create sections and drag actions into them.
Sections are shared: everyone in the project sees them.
To expand or collapse all actions, hover over the Name header, click …, and select Expand All or Collapse All.
To select all actions in a section, click the checkbox next to the section name.
Sections are available in List, Gantt and Table views.
To move a column, drag its header.
To choose which columns to show, click ⊕ at the right end of the column headers. Turn fields on or off, then click Save.
See when actions were created
The Created at column shows each action’s creation date. To display it, click ⊕ at the right end of the column headers and turn on Created at.
Use the column header to sort by creation date or filter to a creation-date range. This column is read-only: it shows when the action was created, rather than its start date or due date.
To see how much of each estimate is used by logged time, turn on Estimated time spent.
You can edit fields such as status and labels directly in the list, without opening the action card.
To add an action, click Create new action at the bottom of a group.
To add a subaction, hover over an action row and click Add subaction (+). Type a title and press Enter. A new blank draft opens for the next subaction. Only project members can add subactions.
To make List View the default view for the project, click ⋮ next to the tab name and select Set as default view.
Schedule actions in My Day
Drag an action from List View onto a time slot in My Day to schedule a 30-minute calendar event while keeping the action in its original project. See My Day for instructions.
Multi-select menu
Select several actions to update them all at once:
To select actions one by one, hover over a row and click the checkbox on the left.
Or hold Command (Mac) or Ctrl (Windows) and click the actions.
To select a range, hold Shift and click the first and last action.
Then choose an option in the menu at the bottom of the screen: Assign, Change status, Move to project, Labels, Archive or Delete. More has Duplicate and Link in order.
