Files App - Store and organize files in Hive

Keep your team’s documents, images, and other files together with the Files app. Upload files, organize them into folders, and choose who can access them.

Open the Files app

  1. Open Apps in Hive.

  2. Find Files and select Open.

You can also pin Files for quick access from your navigation.

Upload files

  1. Open the folder where you want to store your files.

  2. Select Upload and choose files from your computer.

You can also drag and drop files onto the page.

Upload a folder

In the Files app, open the location where the folder should go, select Upload folder, and choose a folder from your computer. Hive creates the selected folder and its nested folders, then puts each file in its matching folder. Use Upload for individual files.

Empty subfolders are not included in a folder upload; create those folders separately. If Hive reports that the upload stopped, some items may already be in Files. Check the destination folder before trying again.

Organize files into folders

Create folders to organize files by team, project, or topic.

  1. Select the option to create a folder.

  2. Enter a Folder name.

  3. Choose a Parent folder if you want to place it inside another folder.

  4. Choose who can access it.

  5. Select Save.

To reorganize an existing file or folder, open its three-dot menu and select Move. Select Move to root to move it out of its current folder to the top level.

Share files and folders

Open a file or folder’s three-dot menu and select Share…. In the Share dialog, choose who can access the item:

  • Only me: Keep the item private in Hive.

  • Specific people: Share with selected people or teams.

  • All workspace members: Make the item available across your workspace.

Changes to these sharing settings save as you make them. Available controls depend on your permissions.

To send someone directly to a file or folder, open its three-dot menu and select Copy link. You can also copy a Hive link from the Share dialog or a file’s detail panel. A Hive link opens the file’s details or the folder in Hive. It does not grant access: recipients still need permission to the item.

A public link is separate from Hive sharing and is available for files, not folders. If you can change a file’s sharing, open Share…, turn on Public link, and copy the URL. Anyone with that URL can download the file without Hive access, even if its Hive sharing is set to Only me. Share the URL only when that level of access is intended.

To revoke access, open Share… for the file and turn off Public link. The old URL stops working. Public links are not available for saved documents.

Find and preview files

Use Search files and folders to find an item. Switch between Grid view for visual browsing and List view for a more compact layout.

For supported file types, use Preview to view the file in Hive. If a preview isn’t available, select Download to open it on your computer.

Some document previews show only the first page. Download the file to view the full document.

Manage your files

Open an item’s three-dot menu to see available options, including:

  • Edit: Update its name and other item details.

  • Share…: Choose who can access the item and manage its links.

  • Copy link: Copy a Hive link without changing access.

  • Move: Place it in another folder.

  • Copy: Create a copy.

  • Download: Save a file to your computer.

  • Delete: Remove the item after reviewing the confirmation.

The options you see depend on the item and your access.
