Create projects in bulk from a spreadsheet

Import a CSV or Excel file to create up to 500 projects at once, with descriptions and project custom field values.

Written by Ellen Kajca

Use Projects spreadsheet to create many projects at once. Each row in your file becomes one new project, with its name, an optional description, and values for your project custom fields.

Want to import tasks into a project instead? Use Tasks spreadsheet. See Import tasks into Hive.

Before you start

  • You need permission to create projects in the workspace. To fill in project custom fields, you also need permission to edit them.

  • Use a CSV, XLS, or XLSX file with up to 500 rows of projects. Put column names in the first row.

  • Create any project custom fields you want to fill before you import. See Custom Fields.

  • Your plan's project limit still applies. If the import reaches it, Hive stops creating projects.

What you can import

Column

What to put in it

Project name (required)

The project's name. Rows without a name are not imported.

Description

Optional notes, up to 10,000 characters.

Text custom fields

Any text.

Number custom fields

A number, like 1234.5.

Date custom fields

A date in the format the importer shows, or YYYY-MM-DD.

Select custom fields

An option that already exists on the field, spelled the same way.

Other custom field types can't be filled by this import. Set them on the projects after they are created.

Import your projects

  1. Click your photo or initials in the top right and choose Import tasks and projects.

  2. Choose Projects spreadsheet.

  3. Optional: select Download example CSV for a file with the right columns, including your project custom fields. Fill it in and save it.

  4. Upload your file.

  5. In Match columns to project fields, match each column to Project name, Description, or a project custom field. Columns with matching names are matched for you.

  6. Review the rows. Hive marks cells it can't import, such as a missing project name, a number or date it can't read, or a select value with no matching option. Fix them, or leave those rows out.

  7. Start the import. Hive shows its progress, for example Importing projects… 50 of 200.

When it finishes, you see how many projects were created, for example Imported 200 projects.

If some rows were not imported

Hive keeps every project it created, even if other rows fail. When some rows aren't imported, you see a summary, such as Imported 180 of 200 projects or Import stopped, with the reasons.

  1. Select Download rows to re-import. The file has the rows that weren't imported and a Why it was not imported column.

  2. Fix the rows if needed, then import the file again.

Rows you left out because of errors in the review step aren't in this file. Fix those in your original spreadsheet.

Check before you re-import. If the connection failed during an import, Hive can't always confirm whether a row was created. Those rows say they may already have been imported. Look for those projects in Hive first, so you don't create duplicates.

Good to know

  • The import only creates new projects. It doesn't update projects that already exist, even if the names match.

  • You can't undo an import. To remove projects you imported by mistake, delete them like any other project.

  • To bring in the tasks for each project, open the project and use Tasks spreadsheet.
