Generate a document from form answers

Fill a PDF template with form answers, or draft a Word document with AI, and attach it to each new action.

Written by Ellen Kajca

Fill a PDF template with the submitted answers, or upload a Word (.docx) template so that Hive drafts a document with AI. Hive attaches the document to each new action that the form creates.

Before you start

  • Your workspace must have Buzz turned on.

  • You must have permission to edit the form.

  • The form must use the Create new action submission target. See Choose submission targets.

  • For a PDF, the template must have interactive, fillable form fields. A scanned PDF, or a document with only blank lines, does not work.

Fill a PDF template

  1. Open your form in the form editor and add the questions that you want in the PDF. Save the form before you add a document template.

  2. Under Submission settings, select Create new action in Submission targets and set where the action goes.

  3. Find Generate a document below the action settings. If necessary, add Mapping instructions, such as a date format or fields that must stay empty.

  4. Click Choose PDF or Word template and upload your fillable PDF.

  5. Wait for the mapping to finish. Then review the PDF fields and the form questions mapped to them. Fields without a mapping keep their template value.

  6. Save your changes, then click Publish or Save and Publish.

  7. Submit a test response in the published form. Open the new action, find the PDF under Attachments, and make sure that the answers are in the correct fields.

Example: a form question named “Request title” can map to a PDF field with the same name. An answer such as “Website launch” then shows in that field in the attachment.

Update or remove the template

To upload a different template, use Choose replacement template. If you change your mapping instructions, click Update field mapping and review the results again. To stop creating documents, use Turn off document generation. Save and publish your changes.

“This PDF has no fillable fields”

This message means that Hive did not find interactive form fields in the PDF. Add fillable fields with a PDF editor, save the file, and upload it again. Spaces, lines, and text boxes that are only part of the page design are not fillable fields.

Draft a Word document with AI

  1. Open the saved form in the editor. Under Submission settings, set up a Create new action target and find Generate a document.

  2. Click Choose PDF or Word template and upload a Word .docx template.

  3. If necessary, add Drafting instructions. Tell Hive what to write, which information to use, or which sections to keep unchanged.

  4. To give supporting material, such as a budget or a project brief, use Add reference files. You can add up to 10 reference files. Hive also uses files that the respondent uploads with the submission.

  5. Save and publish the form, then submit a test response.

For Word templates, Hive drafts the document from the answers and the supporting files. It does not map individual fields like it does for a PDF. Review the document before you use or share it.

When does the Word attachment appear?

Hive drafts the Word document in the background. The submission and the new action do not wait for the draft. A loading Word attachment shows under Attachments on the new action. The document becomes available when the draft is complete. If it is still loading, check the action again later.

Hive does not attach the Word document to the form submission notification email. Open the new action to get it.

To replace the Word template, use Choose replacement template. To remove the supporting files, use Clear reference files. To stop creating documents, use Turn off document generation. Save and publish your changes.
