Route form submissions

Choose what each form submission creates in Hive, and use workflows to send requests to the right place.

Written by Ellen Kajca

When someone submits a form, Hive can create an action, create a project, update a project, or add a time off entry. You choose this in the submission settings of the form. For how to create a form, see Hive Forms.

Choose submission targets

  1. In the form editor, scroll to the Submission settings card below your questions.

  2. Open Submission targets.

  3. Choose one or more targets: Create new action, Create new project, Update an existing project, or Create time off entry.

  4. To also run a workflow, connect it under Connected workflows.

For more settings, click settings panel at the bottom of the Submission settings card, or click the Submission settings icon in the panel on the right.

Create new action

Hive creates an action in the project under In project and assigns it to the people under Assigned to, or to a team under Team assignee. You can also apply an action template and choose which form fields map to the action.

Each answer mapped to the action description shows on the new action, like this:

  • Create a subaction: choose a parent action under As subaction of. Each submission then creates a subaction under that action.

  • Create more than one action: click Add action under the action settings. Each action can have a different project, assignee, and so on.

A form submission cannot change the description of an existing action. Each submission creates a new action. To keep data together, map answers to custom fields.

Create an action only for some answers

Under Optional: Only create this action if, choose a form Field, an Operator, and a Value. Hive creates the action only for submissions that match.

Create an action based on a date

When the Field in Optional: Only create this action if is a date question, you can compare the answer to today.

  1. In Field, select a date question.

  2. In Operator, select equals (same day), greater (after), or less (before).

  3. In Value, select Relative to today, then enter a number of days. Enter 0 for today, 3 for 3 days after today, or -3 for 3 days before today. To compare to a set date, select Specific date.

  4. Save your changes, then select Publish or Save and Publish.

Example: to create a "Rush request" action for urgent dates, select the date question, then less, then Relative to today, and enter 3. If someone submits on October 21, Hive creates the action for October 23 or earlier, including past dates.

Good to know:

  • "Today" is the date of the submitter, in their own time zone, when they submit the form.

  • Hive compares only the day, not the time.

  • greater and less do not include the day itself.

  • If the date question is empty, Hive does not create the action.

Workflows with a Form is submitted trigger have the same Relative to today option for date questions. There, the operators are Date equal, Date after, and Date before.

Create or update a project

  • Create new project: each submission creates a new project.

  • Update an existing project: each submission updates the existing project with the answers.

For both targets, open the settings of each question to map its answer to the project description, project custom fields, or both.

Route form requests with Workflows

The submission settings of the form decide what Hive creates, such as an action in your intake project. A workflow can then change that action. For example, it can move the action to a section or change its assignee. In the example below, the form creates the action, and the workflow does not create a second action.

Example: route design requests to a Design section

  1. In your intake project, create a section named Design.

  2. In the form, add a required choice question named Request type, with Design as one option. Set Create new action to create an action in the intake project, then publish the form.

  3. Open Workflows and create a workflow. Choose Form is submitted as the When trigger, then select your form.

  4. Add the Then operation Update section to and choose the Design section of the intake project.

  5. On that operation, select Add conditions. Choose the Request type question and set the condition to match Design.

  6. If necessary, add Change assignee to and choose the person who handles design requests. Add the same Request type = Design condition to this operation.

  7. Save and turn on the workflow. Submit a test request with Design selected in the published form. Then check the project, section, and assignee of the new action.

Each condition applies only to its operation. Add the condition to each operation that must run only for Design requests. To route a different request type, add operations with the condition and destination for that type. Also test an answer that does not match, to make sure that Hive does not route it to Design.

Update section to moves the existing action between sections. Add a create-action operation only when you want one more action. Make sure that the destination project of the form is the project that contains the section in the workflow.

If a request does not route as expected

  • Make sure that the submitter used the published form and that you published your latest form changes.

  • Check the action settings of the form and any Only create this action if condition. This example needs the form to create an action.

  • Make sure that the workflow is on and that its Form is submitted trigger uses the correct form.

  • Check the answer condition, destination section, and assignee of each operation. Check the conditions again after you change form questions or choice values.

  • Open View runs for the workflow, find the test run, and look for errors or skipped steps in each operation. Check the action that Hive created. Do not rely only on the confirmation message of the form.
