This article explains the settings that control submission emails and sign-in, and the windows and messages that people can see when they submit a form. For how to create a form, see Hive Forms.
Email and sign-in settings
You find these settings in the Submission settings panel of the form editor.
Email the submitter: select Each time a form is submitted, send a copy to the form submitter. Hive sends an email with all the answers to the person who filled out the form.
Email selected people: select Each time a form is submitted, an email will be sent to the following people. Hive sends the answers to the addresses in Email address (comma separated). Hive also sends them to the Hive users that submitters select in Dynamic Users or Dynamic Teams fields. You choose these fields under Hive users selected from the following dynamic fields. For a team, Hive sends the email to all team members.
Require Hive sign-in: select Require sign in for form submissions. People must sign in to Hive to submit the form.
For who can edit and publish the form, see Who can edit and publish a form.
“How would you like to submit?” window
This window can open after a person clicks Submit. It is not a question on your form, and you do not add it. Hive shows it when both of these are true:
The person is not signed in to Hive.
The email address that they entered does not belong to a Hive account that is set up.
Most submitters who do not use Hive see this window. A person who submits without signing in can see it each time they submit.
The window has three options:
Keep editing — closes the window. The answers stay on the form.
Continue separately — submits the form with the email address on the form. The submission works as usual.
Sign in — opens the Hive sign-in page. After sign-in, the form opens again with the answers. Click Submit to send it.
Form owners cannot turn off this window. If all your submitters have Hive accounts, you can turn on Require sign in for form submissions in Submission settings. Then only signed-in people can submit, and the window does not open.
To find a submission later, the submitter can open My submissions. See Form Submissions Page.
After someone submits a form
Hive saves the submission first. Then, if the form sends email, Hive sends it. The confirmation page shows the result of the email step.
The form sends email when one or both of these options are on in Submission settings:
Each time a form is submitted, send a copy to the form submitter
Each time a form is submitted, an email will be sent to the following people
If both options are off, the page shows only your Confirmation message.
Email messages on the confirmation page
Each message also shows a Submission reference.
Email accepted — "Email accepted for delivery. Inbox delivery is not confirmed." The email provider accepted all the emails. Hive cannot confirm that each email arrived in the inbox.
Check email delivery — "Email could not be sent." The email provider did not accept the email. No email was sent.
Check email delivery — "Some emails were accepted for delivery, but others could not be sent." Hive sends one email to workspace members and a different email to people outside your workspace. One of these emails was sent. The other was not. This can only occur when Allow submitters to track form progress is on. See Let submitters track their submissions.
Check email delivery — "Email delivery could not be confirmed. Some emails may have been sent." Hive did not get an answer from the email provider. Some or all emails may have been sent. Hive does not send them again, to prevent duplicate emails.
Check email delivery — "No eligible email recipients were selected, so no email was sent." The form sends email, but it had no recipient. For example, the email address list is empty and the submitter left the selected user or team fields empty.
When the message is Check email delivery, the page title is Submission saved. The submission is saved and its action or project is created. If the form goes to a web page after submit, it stays on the confirmation page for these messages.
Do not submit the form again. A second submission creates a second action or project.
If you are the form owner
When a submitter tells you about an email message:
Open Form stats for the form. Find the submission by Submitted at and Submitted by. Form stats does not show the submission reference.
Check the email options in Submission settings: the email address list and the dynamic fields that receive email.
If necessary, send the missing information to the correct people yourself.
For "Email could not be sent", "Some emails were accepted…", or "Email delivery could not be confirmed", contact Hive support. Give the submission reference from the submitter.
If the message is Email accepted but a person did not get the email, tell them to look in Spam and Junk and to allowlist updates@notifications.hive.com. See I'm not getting Hive Notification Emails.
If the connection stops during submit
If the page shows Something went wrong, click Back to form. Your answers are still in the form. Submit again. If Hive already saved the first submission, it does not save a second copy. It shows the confirmation page for the saved submission, with the same submission reference.
This protection works only while the page stays open. If you reload or close the page, the form can keep your answers, but Hive treats the next submit as a new submission.
If the page shows "This submission is still processing. Do not submit it again. Check with the form owner.", do not submit again. Contact the form owner.
Submit another on the confirmation page always starts a new submission.
