Dashboards

Data, reporting, and more!

Written by Ellen Kajca

Dashboards show reports on your workspace data with charts, lists, and other widgets.

To open Dashboards, go to App Library and click Open on the Dashboards app. If the app is off, a workspace admin may need to turn it on.

The Advanced Dashboards app adds Pivot tables.

Dashboard library

The library shows every dashboard you can see. Use the tabs (All dashboards, My dashboards, Shared with me, Projects, Loops, Templates, Archived) or folders to find one.

Star dashboards and folders

In All dashboards, My dashboards, Shared with me, and Projects, hover over a row and click its star to keep it near the top of your library. Click the filled star again to remove it.

Stars are personal. They do not change anyone else’s stars or a dashboard’s sharing settings. Starring is also separate from Pin dashboard, which adds a dashboard to your left sidebar.

If you star a dashboard inside a folder, it also appears at the top level of the library and remains in its folder. If you star the folder too, the dashboard appears inside that starred folder instead of appearing twice. Removing a dashboard’s star does not remove it from its folder.

Organize dashboards in folders

Click New folder to create a folder. Folders are shared with all workspace members, while each dashboard’s sharing settings still control who can see it. Click a folder’s name or arrow to expand or collapse its dashboard rows.

To move a dashboard, drag its title into a folder. You can also open the dashboard’s ⋮ menu and select Add to folder or Move to folder, choose the folder, and click Save. Moving a dashboard does not change its sharing settings.

Use a folder’s ⋮ menu to edit or delete it. Deleting a folder keeps its dashboards and returns them to the top level of the library. The controls you see depend on your access.

Default order and sorting

In tabs with folders, the default sort is Type. Starred items come first. Within the starred and unstarred groups, folders come before dashboards, with the newest items first within each type. Inside a folder, starred dashboards come first, followed by the remaining dashboards, newest first.

Click Title, Type, or Date created to change the order. Click the same heading again to reverse it. Stars still take priority over the selected sort. Your selected sort is temporary: reopening or reloading the library returns to the default order.

Templates and Archived do not show folder rows or library stars. They show the newest items first by default.

Create a dashboard

  1. Click New dashboard.

  2. Choose Blank dashboard or Use a template.

  3. Enter a name, pick a color, and choose a folder if you want one.

  4. Under Sharing, choose Private to me, Specific people, or Everyone. You can change this later.

  5. Click Create dashboard.

Add and edit widgets

Click Add widget to open the Widget library. For a list of every widget, see Dashboard Widgets.

Hover over a widget to see its controls:

  • Pencil: rename the widget.

  • Gear: open the editor. Click Save chart to keep your changes.

  • Arrows: view the widget full screen.

  • ⋮: more options, such as duplicate, export, or delete.

Click a bar, slice, or number in a chart to see the actions or projects behind it.

Dashboard menu

Click Menu in the top-right corner of a dashboard. The same options are in the ⋮ menu on each row in the library.

  • Pin dashboard: add the dashboard to your left sidebar.

  • Edit: change the name, color, folder, and sharing.

  • Export: download a PDF, a PNG image, or a one-slide PowerPoint.

  • Archive: hide the dashboard. Find it later on the Archived tab.

  • Delete: remove the dashboard permanently. You can't undo this.

Only the dashboard owner or a workspace admin can archive or delete a dashboard.

Dashboard templates

To start from a template, click New dashboard > Use a template. To save a dashboard as a template, click Menu > Save as template. Saved templates are on the Templates tab.

Dashboards in projects and notes

In a project, click + > Dashboards to add a dashboard tab. See Dashboards in Project Views.

In Hive Notes, open the block menu and click Add widget to add a widget to a note.

Share a dashboard

Click Share at the top of the dashboard.

Share with workspace members

In People & access, choose Private to me, Specific people, or Everyone, then click Save changes. People see only the data they have access to.

The owner can turn on Show data using the creator's access. Viewers then see widget data with the owner's permissions, including private projects they can't open. Use Who can edit this dashboard? to choose who can change the layout and widgets.

To request or grant access, or to transfer ownership, see Share, request access to, and arrange dashboards and Transfer dashboard ownership.

Share with Public Link

1) Click Share, then Public link.

2) If there is no link yet, click Generate public link.

3) Click Copy public link and send it. Anyone with the link can view the dashboard.

To limit the link to certain email domains, turn on Require login when accessing public links, enter the domains, and click Save changes. Only the dashboard owner or a workspace admin can change this.

Share by email

  1. Click Share, then Email.

  2. Under Recipients, add people, teams, or email addresses.

  3. Click Send now, or pick a Date, Time, and Repeat, then click Schedule email.

To stop a scheduled email, click Cancel next to it under Scheduled emails.
